  • Channeling requests for information, suggestions, and claims that you may send us

How do we collect your information?

We collect your personal information through different means, but you will always be informed at the time of collection through informative clauses regarding the data controller, the purpose, and the legal basis for it, the recipients of the data, and the period for which your information will be retained, as well as how you can exercise the rights you have concerning data protection.

In general, the personal information we process is limited to identifying data (name and surname, date of birth, address, ID number, phone number, and email), contracted services, and payment and billing data.

In cases involving personnel management and selection, we collect academic and professional data to fulfill the obligations arising from the maintenance of the employment relationship or, if applicable, to become part of our staff.

Armoniats uses social networks and this is another way to reach you. The information collected through the messages and communications you publish may contain personal information that is available online and accessible to the public. These social networks have their own privacy policies that explain how they use and share your information, so Armoniats recommends that you review them before using them to confirm that you agree with how your information is collected, processed, and shared.

User responsibility

By providing us with your data through electronic channels, the user guarantees that they are over 14 years old and that the data provided to Armoniats is true, accurate, complete, and up to date. For these purposes, the user confirms that they are responsible for the accuracy of the data communicated and that they will keep this information suitably updated so that it reflects their actual situation, assuming responsibility for any false or inaccurate data they may provide, as well as for any direct or indirect damages that may arise.

How long do we keep your information?

At Armoniats, we only retain your information for the necessary period of time to fulfill the purpose for which it was collected, comply with the legal obligations imposed on us, and address any potential responsibilities that may arise from compliance with the purpose for which the data was collected.

If you wish to become part of our team and apply for one of our job positions, the data provided will become part of our employment pool and will be retained for the duration of the selection process and for a maximum of 5 years or until you exercise your right to deletion.

In any case, and generally speaking, we will keep your personal information as long as there is a contractual relationship between us or you do not exercise your right to deletion and/or restriction of processing, in which case, the information will be blocked without further use beyond its retention, as long as it may be necessary for the exercise or defense of claims or any potential liabilities that may need to be addressed.

Who do we communicate your data to?

In general, at Armoniats we do not share your personal information, except for those transfers that we must carry out based on legal obligations. However, in order to develop and provide the requested service, there may be cases where your data is shared with other companies and/or collaborating startups, under an NDA. You can communicate your opposition to the transfer of your data, although in that case, it would not be possible to provide you with the requested service. Additionally, your personal information will be available to Public Administrations, Judges, and Courts, for the attention of possible liabilities arising from the processing.

International data transfers

There are no international transfers of your data to countries outside the European Economic Area (EEA).

What are your rights regarding the processing of your data and how can you exercise them?

The regulations regarding data protection allow you to exercise your rights of access, rectification, deletion, and data portability, as well as opposition and limitation to their processing, and to not be subject to decisions based solely on the automated processing of your data, when applicable. These rights are characterized as follows:

  • The exercise of your rights is free of charge, unless it concerns manifestly unfounded or excessive requests (e.g., repetitive in nature), in which case Armoniats may charge a fee proportional to the administrative costs incurred or refuse to act.

  • You can exercise your rights directly or through your legal or voluntary representative.

  • We must respond to your request within one month; however, considering the complexity and number of requests, the timeframe may be extended by an additional two months.

  • We are obliged to inform you about the means to exercise these rights, which must be accessible and we cannot deny you the exercise of the right solely because you choose another means. If the request is submitted electronically, the information will be provided through these means when possible, unless you request otherwise.

  • If Armoniats does not process the request, it will inform you, at the latest within a month, of the reasons for its inaction and the possibility of appealing to a Control Authority.

To facilitate the exercise of your rights, we provide you with links to the request form for each of the rights:

How do we protect your information?

At Armoniats, we are committed to protecting your personal information. We use reasonably reliable and effective physical, organizational, and technological measures, controls, and procedures aimed at preserving the integrity and security of your data and ensuring your privacy.

Additionally, all personnel with access to personal data have been trained and are aware of their obligations concerning the handling of your personal data. All these security measures are periodically reviewed to ensure their adequacy and effectiveness.

However, absolute security cannot be guaranteed, and no security system is impenetrable; thus, in the event that any information subject to processing and under our control is compromised as a result of a security breach, we will take appropriate measures to investigate the incident, notify the Control Authority, and, where applicable, inform those users who may have been affected so they can take appropriate measures.
